How to Import Discover Statements into QuickBooks

One thing that trips people up with Discover is that it covers two different account types: credit cards (Discover it and related products) and Discover Bank deposit accounts (the Cashback Debit checking account and Online Savings). QuickBooks treats these differently - credit cards go under the Credit Card account type, while Discover Bank accounts go under Bank. The setup steps are the same, but it is worth getting the account type right from the start to avoid reconciliation headaches later.

Route 1: Live bank feed in QuickBooks Online

The most convenient ongoing setup is connecting Discover directly to QuickBooks Online. Transactions pull in automatically, and you categorize them at your own pace inside QuickBooks.

Important: the live feed only brings in history from the point where the connection was established forward, plus that initial 90-day batch. If you need older transactions - for example, you are importing a full calendar year for tax purposes - you will need to supplement the feed with a manual import of earlier data. Use Route 3 or Route 4 below for those periods.

Route 2: OFX or QFX export for QuickBooks Desktop

Discover's activity download includes OFX and QFX format options. Both are Web Connect formats that QuickBooks Desktop imports natively, making this the most direct path for Desktop users who do not want to set up a live feed.

Discover's activity download covers up to 24 months of history - longer than most banks. For periods before that window, the PDF method in Route 4 handles the remainder.

Route 3: CSV import into QuickBooks Online

If you prefer not to set up a live bank feed, Discover's CSV export is a clean alternative for recent history.

A note on the amount sign convention: Discover's credit card CSV uses negative amounts for purchases. QuickBooks Online's upload tool expects a signed amount where expenses are positive. When you map the Amount column, QuickBooks will ask whether the amounts are signed or split into separate debit and credit columns. Select signed and let QuickBooks flip the sign as needed.

Route 4: Convert older Discover PDF statements and import

For any history older than Discover's activity download window, the official PDF statement is the only available data source. Getting that into QuickBooks requires two steps: extracting the transactions from the PDF, then importing the resulting CSV.

Discover PDF statements for credit cards list each transaction on its own line with date, description, and amount in a fixed-width layout. The layout is clean, but pasting it into a spreadsheet still produces misaligned columns because the spacing is not preserved as tab stops. When these come through the bank feed or appear in an imported CSV, QuickBooks will try to categorize them as income by default. Here are the two common approaches:

Privacy note: Discover PDF statements include your account number and a complete transaction record for the period.
