How to Import PNC Statements into QuickBooks
PNC Bank supports QuickBooks through a live bank feed, a downloadable OFX or CSV export, and a PDF statement archive. Here is how to use each one - and what to do when you need data that is older than what the download covers.
PNC has a practical export menu that most people overlook. In addition to CSV, PNC's activity download offers OFX and QFX files - which import directly into QuickBooks Desktop without any intermediate conversion. But all of these options share the same limitation: the download window only reaches back so far. For older history, you are working from PDFs, which need a different approach.
Route 1: Live bank feed in QuickBooks Online
The simplest ongoing setup is connecting PNC directly to QuickBooks Online as a bank feed. New transactions pull in automatically and you categorize them inside QuickBooks.
To connect:
- In QuickBooks Online, go to Banking (or Transactions), then click Link account.
- Search for PNC Bank and authenticate using your PNC online banking credentials.
- QuickBooks will import approximately 90 days of recent transactions as an initial batch, then keep syncing new activity going forward.
What the bank feed does not do: it does not reach back into periods before the connection was established. If you connect today and need transactions from two years ago, the bank feed cannot retrieve them. Use the export or PDF routes below for historical data.
Route 2: PNC's OFX/QFX export for QuickBooks Desktop
PNC's activity download includes OFX and QFX formats, which are the standard Web Connect format that QuickBooks Desktop imports natively. This is the most direct path for QuickBooks Desktop users who need the last year of PNC history.
How to export from PNC
- Log into pnc.com and open the account.
- Click the Download or Export button on the account activity screen.
- Choose a date range and select OFX or QFX as the file format.
- Download and save the file.
How to import into QuickBooks Desktop
- In QuickBooks Desktop, go to File, then Utilities, then Import, then Web Connect Files.
- Select the OFX or QFX file you downloaded from PNC.
- QuickBooks will ask which account to import into - select the matching ledger account and confirm.
- Review the imported transactions and accept them.
The PNC activity download typically covers the past 12 months, with some variation by account type. For anything older, move to the PDF approach below.
Route 3: CSV import into QuickBooks Online
If you use QuickBooks Online, PNC's CSV download is the right starting point for a manual import.
- From PNC's activity screen, choose CSV or Microsoft Excel as the format and download.
- In QuickBooks Online, go to Banking, then Upload from file.
- Select your PNC account, upload the CSV, and map the columns: Date, Description, and Amount.
- Review the transactions and click Import.
For PNC Virtual Wallet accounts, you may need to download activity separately from each sub-account (Spend, Reserve, Growth) if you need transactions from all three in QuickBooks.
Route 4: Convert older PNC PDF statements and import
For any period older than PNC's activity download window, the only available data source is the official PDF statement. Getting that into QuickBooks requires two steps: extracting the transactions from the PDF, then importing the result.
Step 1: Download the PDF from PNC
- Log into pnc.com and navigate to the Statements section of your account.
- Find the month you need and download the PDF. PNC typically keeps several years of statement history online.
- Repeat for each additional month you need to import.
Step 2: Extract transactions with a local converter
PNC's PDF statements include formatted tables, running balance columns, and page headers that do not translate cleanly into a spreadsheet by copy-pasting. A dedicated converter reads the PNC statement layout and produces structured output - date, description, amount - ready for import.
Quill parses PNC statement PDFs locally: drop in the file and it extracts every transaction on your own computer, then lets you export to CSV for QuickBooks Online import. Your statement data stays on your machine - nothing is uploaded to a third-party server.
Step 3: Import the CSV into QuickBooks Online
- In QuickBooks Online, go to Banking, then Upload from file.
- Select your PNC account, upload the CSV exported from Quill, and map the Date, Description, and Amount columns.
- Review the transactions, assign categories or rules as needed, and confirm the import.
Handling PNC credit card statements in QuickBooks
PNC credit card statements include purchases, payment credits, and any fee or interest charges as separate line items. When importing into QuickBooks, be aware of a few things:
- Payments to the card appear as negative amounts (credits). These should not be treated as income - tag them as a credit card payment in QuickBooks to keep your accounts balanced.
- Interest and fees appear as separate transactions. Assign them to a financial expense category rather than leaving them in the general expenses bucket.
- Rewards credits sometimes appear as line items. Tag them appropriately so they do not distort expense totals.

Frequently asked questions
Does PNC Bank connect directly to QuickBooks Online?
Yes. QuickBooks Online supports a bank feed connection to PNC that pulls in new transactions automatically going forward. The live feed does not backfill historical data before the connection date. For older periods, use PNC's activity export or convert older PDFs using a local tool.
What file format does PNC export for QuickBooks Desktop?
PNC's activity download includes OFX and QFX format options, which import directly into QuickBooks Desktop via the Web Connect Files feature. For QuickBooks Online, use the CSV option and import via the manual upload feature in the Banking section.
How do I get PNC statement data from more than a year ago into QuickBooks?
Download the PDF statement from the Statements section of pnc.com, then use a local PDF converter like Quill to extract the transactions and export to CSV. Import that CSV into QuickBooks Online via the manual upload feature. This works for any period in your PNC statement history.
